Payroll / HR
The Payroll & HR module enables complete personnel administration, from employee and contract records to payroll calculation and tax reporting. It connects to electronic time-clock devices and to the REGES platform, automatically calculates salaries based on timesheets and generates personnel documents from templates.
What you can do
Section titled “What you can do”- Employee records — identification data, position, department, the history of contractual and salary changes; configurable extra fields and CV management.
- Real-time electronic clocking — connection to time-clock devices; automatic import on employee entry/exit, with automatic calculation of clocked hours.
- REGES integration — transmit employees, contracts and contract changes; medical leave and interruptions sent automatically; import of messages and actions from REGES.
- Employee folder with files — old work books, study documents, decisions, etc., attached to the folder; certificates generated automatically.
- Payroll calculation — gross/net with contributions and taxes (configurable contributions), payslips, pay sheets and summaries.
- Meal tickets, per diems and bonuses — managed and included in the calculation.
- Documents from templates — generated from .docx templates configured with parameters.
Employee folder and documents
Section titled “Employee folder and documents”Each employee has a folder where you can attach files: old work books, study documents, all sorts of decisions and other documents. Based on the recorded data, you can automatically generate certificates and documents from .docx templates configured with parameters (contracts, amendments, decisions, etc.).
Electronic clocking and working time
Section titled “Electronic clocking and working time”Smartis can connect to electronic time-clock devices and imports timesheets in real time — when an employee clocks in and out — and the clocked hours are calculated automatically. Timesheets can also be imported from other systems or entered manually. The system handles overtime, shifts and rotations, with automatic validations (negative hours, overlaps).
REGES integration
Section titled “REGES integration”The module connects to the REGES platform and allows:
- Transmitting the employees registered in Smartis to the REGES online platform.
- Transmitting contracts and their amendments.
- Medical leave and interruptions sent automatically, based on the timesheets.
- Import from REGES of messages and performed actions.
Annual and medical, with balances, planning and approvals; medical allowances calculated automatically per the law, and medical leave and interruptions can be transmitted to REGES.
Payroll, meal tickets, per diems and bonuses
Section titled “Payroll, meal tickets, per diems and bonuses”Payroll determines the gross and net with (configurable) contributions and taxes, including meal tickets, per diems and bonuses, and generates pay sheets, payslips and summaries.
Tax declarations (ANAF)
Section titled “Tax declarations (ANAF)”Generation of the D112 declaration (social contributions, income tax, nominal records), auto-filled from the payroll calculation and exportable for electronic filing.
Typical flow
Section titled “Typical flow”Electronic clocking (real time) / import → leave → payroll calculation (meal tickets, per diems, bonuses, contributions) → pay sheets and payslips → accounting entries → D112 to ANAF; in parallel, employees/contracts/medical leave synced with REGES.
